Temperature Evidence for an Insurance Claim: What Records Actually Help

1. Keep the raw or original logger export

Preserve the original logger file before editing or converting it. The source file is the starting point for showing what readings were actually available.

2. Preserve shipment identity and handover context

Keep the shipment identity, dates, origin and destination, relevant handover times and any records that help place the logger readings within the movement of the goods.

3. Keep the relevant temperature specification

If the policy, customer requirement, contract or product documentation identifies a temperature specification or threshold, retain the exact source. GCCAP does not invent a missing threshold.

4. Preserve calibration and instrument records

Where available, keep the logger serial, sensor identity and calibration certificate with the evidence. If those records are unavailable, that limitation should remain visible.

5. Reconstruct the observation period and excursions

A useful review normally looks at the whole observation period: minimum and maximum temperatures, timing, duration, sustained excursions, recovery and any gaps in the readings.

6. Keep source and report integrity visible

GCCAP uses SHA-256 integrity fingerprints for supported source and report records. They help show whether the exact digital content later changes; they do not prove the original measurement was accurate.

7. Be clear about what temperature evidence does not decide

A temperature evidence report can organise and preserve relevant records, but it does not determine liability, prove causation or certify compliance. It does not guarantee that an insurance claim will be accepted or paid.
